5 tasks every small business should automate this week

Five simple automations that save hours every week: instant replies, FAQs, booking, reminders and follow-ups. No tech team needed.

You don’t need a big tech team to start automating. Most small businesses lose hours every week on the same small, repetitive tasks.

Here are five of them that you can automate this week, starting with the easiest.

1. The first reply to every new message

The first reply is the most important one, and it is also the easiest to automate.

When someone writes to you on WhatsApp, Instagram or Messenger, they should get an answer right away. Even a simple “Hi! Thanks for your message. What can I help you with?” keeps the conversation alive while you are busy.

Simple version: auto-replies in WhatsApp Business or Instagram. Better version: an AI assistant that replies and keeps the conversation going.

2. Your frequently asked questions

Prices, opening hours, location, delivery times, what is included. You probably answer the same questions every day.

Write the answers once and let an AI assistant use them. It will answer in seconds, in a natural way, and it won’t get tired of the fifth “How much is it?” of the day.

3. Booking calls and appointments

How many messages does it take to agree on a time? “Tuesday?” “I can’t, Wednesday?” “Morning or afternoon?”

Connect a booking calendar to your chat. The client picks a free slot, and it goes straight into your calendar. No back-and-forth.

4. Appointment reminders

People forget. A reminder the day before and another one a few hours before the appointment is one of the easiest ways to reduce no-shows.

This is a set-and-forget automation: once it is running, every booking gets its reminders automatically.

5. Follow-ups with leads who went quiet

Many leads don’t say no. They just stop replying. And most businesses never write to them again.

An automatic follow-up a day or two later (“Hi! Did you have any other questions?”) brings some of those conversations back to life, without you having to remember who to message.

Where to start

Don’t try to automate everything at once. Pick the task that eats the most of your time, automate it, and see how it goes for a week. Then add the next one.

If you want all five working together, an AI assistant connected to your calendar and your CRM can handle them in one system, on every channel your clients use.
